About Vanor

Fully-Managed AI Automation for Recruitment & Staffing Agencies

Vanor is a fully-managed AI automation company for recruitment and staffing agencies. We build the AI systems that handle an agency's repetitive work — candidate sourcing, screening, ATS updates, and outreach — then host, monitor, and keep them running. The agency wins more placements without buying another tool, learning new software, or changing how its recruiters work.

What does Vanor do?

Vanor builds, deploys, and runs the AI layer of a recruitment or staffing agency. Most AI tools for recruitment agencies hand you a login and wish you luck. Vanor does the opposite: we map how your agency actually operates, build AI automation around your existing ATS and workflow, and then run it for you — hosted on our infrastructure, monitored continuously, and adjusted whenever something in your process changes.

We build it, we deploy it, we run it

The model is three words — and you keep placing candidates. Vanor is for recruitment and staffing agency owners, typically 3 to 50 staff, usually on Bullhorn, JobAdder, Loxo, or a stack of spreadsheets, who are losing placements they should be winning to administrative drag. It is not for solo recruiters or owners looking for a DIY tool to configure themselves.

Build

We map how your agency actually operates and build AI automation around your existing ATS and workflow — in real code, built to hold up at real volume.

Deploy

The system is hosted on our infrastructure and connected to the job boards, email, and outreach tools your agency already uses.

Run

We monitor it continuously and adjust it whenever your process changes. There's no new software for your team to operate.

Why Vanor exists

Recruitment is a speed business. The agency that gets a qualified candidate in front of the hiring manager first usually wins the fee. And yet most agencies lose those races not because their recruiters are worse — but because their best people spend the first three hours of every morning reading applications, copying candidate data between tabs, and updating the ATS by hand.

The tools to fix this already exist. The problem is that buying a tool and getting an outcome are two different things. An agency owner doesn't have time to evaluate fifteen platforms, learn a new system, train the team, and hope adoption sticks. So the tools get bought, half-used, and quietly abandoned — and the manual work continues.

Vanor was built to close that gap. We don't sell software you have to operate. We take responsibility for the result: the system is built around your agency, it runs, and it keeps working. That accountability — not the technology itself — is the whole point.

Vanor was founded by Lucas Weiss.

Lucas spent the early part of his career in performance marketing, where the entire job was building systems — automations that ran campaigns, scored leads, and moved data between tools without anyone having to touch it. He builds in real code, not no-code assemblers, because the cheap, brittle versions always break the moment they meet real volume.

Across every service business he worked with, the pattern was identical: the most talented and most expensive people on the team spent their days on repetitive admin. Nowhere was that more costly than in recruitment, where a few hours of delay is the difference between a placed candidate and a lost fee.

His conclusion was simple. The market didn't need another AI tool. It needed someone willing to build the system, run it, and stand behind whether it actually worked inside a real, messy agency. That's the company he built Vanor to be.

What agency owners say

Hiring manager mentioned offhand that another agency had submitted the same candidate that afternoon. Ours hit her inbox at 9:15 AM. We won the placement.
Jen CarusoOwner
I'd been pitched 'AI for recruitment' a dozen times. All of it was vapor. This was the first one that actually changed how my desk runs. Our fill rate on commercial reqs is up from somewhere around 25% to closer to 35% over the last quarter.
Ricardo FerreiraFounder
The screening pile used to be brutal. Recruiters were spending the first three hours of every morning just reading applications. Now they walk in at 8 and the scoring's already done. We actually start the day recruiting.
Dan ReillyCo-founder
Second month in, Sarah on my team placed a candidate she would've lost to a competitor on timing alone. $12K fee.
Felipe RodriguezFounder

The facts behind the relationship: setup takes three to five hours from your ops lead, pricing is typically less than a single placement fee, and engagements are month-to-month — cancel anytime.

How Vanor is different

The AI recruiting market sorts into four options, and every one of them leaves the hardest part to you:

DIY tools

Zapier, Make, and generic platforms are off-the-shelf, unmonitored, and never built for your specific workflow. They break at scale and no one is watching.

Freelancers

They build something, hand it over, and disappear. No ongoing management, and inconsistent quality.

"AI agencies"

Buzzword-heavy and project-based, often reselling templates rather than building around your operation.

Big consulting firms

Enterprise-only, $50K+ engagements — overkill for a growing agency.

Vanor is the fifth option: custom AI automation built around your exact stack, deployed, managed, and optimized on an ongoing basis — premium, but accessible to a growing agency.

The cleanest way to understand it: a workout app gives you a program and says "good luck." A personal trainer shows up, watches what's working, adjusts the plan, and is accountable for the result. The exercises can be identical. Only one of them actually gets done. Vanor is the trainer.

Frequently asked questions

What does Vanor do?

Vanor builds, runs, and maintains AI automation for recruitment and staffing agencies. We engineer the system around your existing ATS and workflow, host it on our infrastructure, monitor it continuously, and stay accountable for it working — so your recruiters get the time back without managing any software themselves.

Is Vanor an AI platform I have to learn?

No. Vanor is fully managed, not a tool you operate. There is no new dashboard to master and no configuration to maintain. Your team keeps working exactly as it does today, while the repetitive sourcing, screening, and admin work runs automatically in the background.

How is Vanor different from the AI recruiting tools I've already seen?

Every platform and freelancer gives you features and leaves implementation, adoption, and upkeep to you. Vanor takes responsibility for the outcome. We build the system around your specific agency, run it ourselves, and remain accountable for whether it actually delivers placements — not just whether it technically functions.

Which ATS and tools does Vanor work with?

Vanor builds around your existing stack rather than replacing it. We commonly work with Bullhorn, JobAdder, and Loxo, and integrate with the job boards, email, and outreach tools your agency already uses. You don't switch systems — the AI layer connects to what you already have.

What happens on the call?

In 30 minutes, we'll find where your team is getting stuck — the copy-pasting, the screening backlog, what your ATS can't handle — and show you what gets fixed first.

What does it cost?

Depends on what we build. But usually less than one placement fee to get started. Less than what your team loses to admin in a single week, to keep running. We'll walk you through the full numbers on the call, once we've seen your stack and your needs.

What does my team have to do differently?

Almost nothing. The system runs in their existing stack, so there's no new tool to learn. Recruiters approve key outputs before anything goes to candidates or clients — that's how we keep quality high and your name protected. Anyone claiming AI runs end-to-end with zero human review is selling you a lie.

What if it doesn't work?

Cancel anytime. No contracts. If the system stops working, you stop paying. We built it this way because locking agencies into contracts is what the last vendor you regret did.

How fast do agencies see results?

That depends on what your agency needs — simpler setups take days, more complex builds take longer. We scope that on the call. What doesn't vary: once the system is live, the results are immediate. There's no ramp-up period, no 'wait 90 days to see if it's working.'

What do you need from us?

Depends on how much of your operation we're building around. At minimum, ATS access and time from whoever knows your process. We scope exactly what's needed on the call — but the build and the maintenance run on our side. Your recruiters' day doesn't change.

Who is Vanor for?

Vanor is built for owners of recruitment and staffing agencies, generally 3 to 50 staff, who are losing placements to administrative overhead. It is not built for solo recruiters or for owners who want a self-serve tool to configure and run themselves.
